Customer Portal
A self-service area inside the StrikeUp widget where your end-users manage their own profile, memory, members, knowledge base, skills, workflows, integrations, prompt shortcuts, and per-company settings.
Setting it up for your customers? You are in the right place. Looking for something to hand to them? Read the End User Portal Guide.
What is the Customer Portal?
The Customer Portal turns your widget’s end-users into authenticated identities that belong to a Customer Company. Admin-level customers get a self-service dashboard so they can manage their own data — without anyone on your team having to do it for them.
Every Portal page is scoped to the customer’s own company — they only see and edit their own company’s data.
How customers open the Portal
Option 1 — Gear icon inside chat
When you enable the Portal for a widget, a gear (Configure) icon appears in the chat top bar after the customer signs in. Clicking it expands the widget from its narrow side-panel size into a near-fullscreen modal showing the Portal pages. Closing the modal returns the customer to their chat — messages, scroll position, and unsent input are preserved.
Option 2 — Standalone Portal page
You can also embed the Portal as a dedicated page in your own site — useful when you want a customer area separate from chat. Use your widget bundle URL with these query parameters:
The deep-link works even when the master Portal toggle in the admin app is off, so you can hide the in-chat gear icon and still expose the Portal as its own page.
What customers can do — page by page
Page | Who sees it | What customers can do |
|---|---|---|
Profile | Everyone (always on) | View and edit their own name and email; see their role and customer ID. Credential changes happen on the chat sign-in screen, and Log out lives in the sidebar — not on this page. |
Memory | Everyone (always on) | See every fact the assistant has remembered about them, forget any of them, and switch memory off entirely. Private to each customer — not visible to their admins. |
Members | Admin customers | List, promote / demote, disable, and re-enable other members of their customer company. Disabling revokes sessions immediately. Admins cannot action themselves, and a last-admin guard prevents leaving the company with zero admins. No invite path. |
Knowledge Base | Admin customers | Upload documents for retrieval-augmented responses, and test what the AI retrieves for a given question. Website crawling is tenant-only and not exposed here. Everything they add is scoped to their own customer company. |
Skills | Admin customers | Create custom AI skills through a chat wizard that compiles the name, category, description and trigger conditions. The AI uses them only when chatting with members of their company. |
Workflows | Admin customers | Build, schedule, and run recurring jobs on their company’s data, with a Run now trigger and a run-history tab. |
Integrations | Admin customers | Configure one SMTP channel for AI-sent reports and notifications, with a Send test action. Visible only to their company. |
Settings | Admin customers | Turn self-registration on/off, choose the default credential type (PIN vs Password) for new members, set a per-company instruction that shapes how the AI responds to their company. |
Prompt Shortcuts | Admins edit, Members view | Company-scoped one-click prompts that surface in the chat input as chips and in the slash-command dropdown for everyone in that company. |
Roles — Admin vs Member
Admin
Sees every Portal page you have enabled. Can manage other members, knowledge base, skills, workflows, integrations, and the company-wide settings.
The first member of a customer company is created as Admin. Admins can promote any other member from the Members page.
Member
Sees three pages: Profile, Memory, and Prompt Shortcuts — the last of these read-only, so they can use the company’s shortcuts but not create or edit them. Cannot manage other members or company-wide resources.
Members chat with the AI like any other user — the difference is just what the Portal exposes to them. Turning the Prompt Shortcuts page off leaves Members with Profile and Memory.
Signing in
When the Portal is enabled, customers are prompted to sign in on their first widget load with one of two credential types (configured by the tenant admin):
PIN — short numeric code, quick to enter
Password — full credential with stronger entropy
First-time customers go through a one-time setup popup; on subsequent visits they enter the credential on a compact sign-in screen. The session persists across reloads via secure cookies bound to the customer’s browser.
Changing a credential. A signed-in customer can change their own PIN or password from the chat sign-in screen; it requires the current credential first. This is not on the Portal’s Profile page.
Forgotten credential? There is no self-service reset today, and Customer Admins cannot reset another member’s credential from the Members page. The tenant resets it by re-running a customer import with a new credential for that customer ID — an import only overwrites a credential when the row supplies one, so the rest of the customer record is untouched.
Too many failed attempts lock the account and show a countdown. The widget re-probes automatically when the lockout expires — no reload and no manual unlock needed.
Self-registration
If the tenant turns on Allow self-registration for a customer company, new users can sign themselves up via a dedicated screen:
The registration screen creates the customer, joins them to the specified company, and immediately signs them in.
Mobile and responsive behaviour
The Portal modal sizes to 90% of the viewport (capped at 1400 × 900). The sidebar can be shrunk to an icon rail via the panel toggle at the top of the sidebar — this is a manual choice rather than an automatic breakpoint, and each customer’s preference is persisted in their browser. All Portal pages are fully responsive.
Frequently asked questions
Why don’t I see a gear icon in the widget?
Three conditions must be true: (1) the tenant has enabled the Customer Portal for that widget, (2) Require customer authentication is on, and (3) you are signed in. The icon only appears after you authenticate. If the tenant only just enabled the Portal, reload the page once.
Will I lose my chat conversation when I open the Portal?
No. The chat and Portal are mounted together and just toggled between visible/hidden. The connection to the AI stays alive, message history is preserved, scroll position is kept, and any unsent draft is still there when you close the Portal.
Can I open the Portal without opening chat first?
Yes — open your widget URL with ?mode=portal appended. This loads the Portal as a standalone page with no chat surface.
I am an admin — how do I add a new member?
Two ways: (1) Turn on Allow self-registration in Settings and share the registration link with your team. (2) Ask the tenant administrator to create the customer for you via their admin tools. Then change the new member’s role from Members.
Can I see other customer companies on the same widget?
No. Every Portal page is scoped to your own customer company. Other companies on the same widget are fully isolated — you cannot see their members, knowledge base, skills, or settings.
What does the per-company agent instruction do?
It shapes how the AI replies when chatting with members of your customer company. Use it for tone, brand voice, or company-specific rules that should always apply.
Does the Portal work on mobile?
Yes. The Portal scales to your viewport, and the sidebar can be shrunk to an icon rail using the panel toggle at the top of the sidebar. The collapse is a manual choice and is remembered in your browser.
How do I change my password / PIN?
From the chat sign-in screen, not the Portal. The Profile page edits your name and email only. Changing a credential asks for your current one before accepting a new one — so if you think you may forget it, change it before you do.
Where is the Log out button?
At the bottom of the Portal’s left-hand sidebar, under your account name. It is not on the Profile page.
Can my admin see what the assistant remembers about me?
No. The Memory page is scoped to the acting customer only — no other member of your company, including Admins, can see or delete your memories. You can also switch memory off entirely from that page.
I disabled a member — can they still chat?
No. Disabling a member revokes their active sessions and prevents them from signing in. Re-enable them from the Members page to restore access.
